How to Prevent Emails from Going to Spam
If your outgoing emails are landing in spam folders, it’s usually caused by missing authentication records, poor sender reputation, or message formatting issues.
This guide explains how to improve email deliverability and ensure your messages reach the inbox.
Step 1 — Use Correct DNS Records (SPF, DKIM, and DMARC)
Proper DNS authentication is the most important factor for avoiding spam classification.
SPF Record
Specifies which mail servers are authorized to send emails on behalf of your domain.
Example:
v=spf1 include:imprezahost.com ~all
DKIM Record
Adds a digital signature to your emails to verify authenticity.
Example:
default._domainkey TXT "v=DKIM1; k=rsa; p=MIIBIjANBgkqh..."
DMARC Record
Instructs receiving mail servers how to handle unauthenticated messages.
Example:
_dmarc TXT "v=DMARC1; p=none; rua=mailto:dmarc@yourdomain.com"
Add these records in your domain’s DNS Zone Editor via your hosting panel or Cloudflare.

Step 2 — Avoid Spam-Triggering Content
- Do not use all caps, multiple exclamation marks, or spammy phrases (e.g., “FREE MONEY”, “ACT NOW”).
- Avoid excessive use of links or large attachments.
- Include a plain-text version of your email if sending via marketing tools.
- Always include a valid signature with your contact information.

Step 3 — Maintain a Clean Sending Reputation
- Send only to verified, consenting recipients.
- Regularly remove invalid or bounced addresses from your contact lists.
- Avoid sending bulk emails from shared hosting accounts — use Impreza SMTP Relay or a dedicated mail service for campaigns.

Step 4 — Use SSL/TLS and Correct Ports
Always send emails securely via SSL/TLS using the correct ports:
| Protocol | Server | Port | Encryption |
|-----------|---------|------|-------------|
| IMAP | mail.yourdomain.com | 993 | SSL/TLS |
| SMTP | mail.yourdomain.com | 465 | SSL/TLS |
Incorrect or non-encrypted connections may reduce trust with receiving mail servers.
Step 5 — Test Deliverability
Before sending important messages:
- Send a test email to Gmail or Outlook.
- Check the email headers to confirm SPF, DKIM, and DMARC are “PASS”.
- Use free tools like:
Step 6 — Use Reputable Mail Clients and IPs
If your IP is blacklisted, open a support ticket to request delisting.
Step 7 — Educate Your Recipients
Ask your recipients to:
- Check their spam/junk folder and mark your message as "Not Spam".
- Add your email address to their contacts or safe sender list.
This improves long-term sender reputation automatically.
Notes
- DNS changes (SPF, DKIM, DMARC) may take up to 24 hours to propagate.
- Bulk marketing emails should be sent from dedicated mail platforms like MailerLite, Brevo, or Amazon SES.
- Impreza Host’s infrastructure follows strict email reputation and anti-abuse policies to protect all clients.
